Invoicing for tailors: customer invoice, workshop sheet and payments
Last updated:
Invoicing software for tailors produces, for every order, a customer invoice with amounts, paid and balance, and a price-free workshop sheet with measurements and details, and records payments until the order is settled.
Every order in MQDAR gets an invoice automatically and prints two different documents: a customer invoice with amounts and the pickup date, and a workshop sheet with measurements and details but no prices.
The problem it solves
• Handwritten invoices that are hard to read or follow up.
• Tailors seeing customer prices and payments on their work sheet.
• Not knowing what each customer has paid and still owes.
Customer invoice
• Each piece on its own line, with the dependant's name on their line.
• Amounts, paid, balance and pickup date.
• Printed in the customer's language (Arabic, English or Urdu).
• Manual invoices with free items when needed, and clear statuses: open, paid and cancelled.
Workshop sheet
One page per piece with the order number in large type, due date, template, quantity, dependant's name, fabric, measurements, design details and workshop instructions — with no prices, payments, customer name or phone number.
Printing
• Sizes: A4, A5 and 80 mm and 58 mm thermal.
• Per business or per branch: number of copies, header and footer text, terms, workshop instructions and hidden fields per document.
Payments
• Cash or card, and bank transfer when recording a later payment.
• Partial payments up to the remaining balance; the invoice becomes "paid" when fully settled.
• Editing or cancelling a payment needs a finance permission and a reason, and cancelled payments stay on record.
• Online payment by customers is not available inside the system.
VAT
• A VAT-registered business issues a "simplified tax invoice" signed locally, with a downloadable XML file and ZATCA's QR code printed on it.
• Prices are VAT-inclusive; VAT is extracted from the amount, so what the customer pays does not change.
• A non-registered business issues a normal invoice with no VAT and no QR.
• A VAT-registered business customer (with its VAT number and national address) gets a standard tax invoice with the buyer details.
• An issued invoice is never edited: a credit note covers returns, cancellations and discounts after issue, and a debit note covers increases, both linked to the original invoice number.
Discounts
• Active offers apply automatically under their conditions, and a discount coupon is entered in the «Coupon code» field when creating an order or in direct sales.
• A manual discount for users with the permission, capped by a limit the owner sets and with a recorded reason.
• The discount is spread across the invoice lines and VAT is calculated after it.
•Ready for integration with the ZATCA FATOORA platform: signed simplified tax invoices with the ZATCA QR code and an XML file for VAT-registered businesses; the system is ready for integration with the ZATCA FATOORA platform (phase two).
