Fabric inventory software for tailoring shops: rolls, warehouses, purchasing and stock-takes
Last updated:
MQDAR's fabric inventory tracks a shop's fabrics and accessories by the metre, yard and roll, from purchasing and receiving to issuing them to tailoring orders or selling them, and calculates the weighted average cost automatically.
Inventory is part of the same shop system: fabric chosen in a tailoring order is reserved for that order and then issued as the work moves on, so balances stay right without counting by hand every day.
The problem it solves
- You only know how much of each fabric is left by counting it.
- A customer is promised a fabric that turns out to be reserved for another order or not enough.
- The real fabric cost is unknown, so the real profit of an order is unknown.
Items and units
- Fabric and accessory items (buttons, threads, linings and more) with a code, barcode, category and colour.
- Units: metre or yard for fabrics, and piece, set or pack for the rest.
- Rolls: each roll keeps its own balance inside the item.
- A low-stock alert level for each item.
Purchasing and suppliers
- A supplier list and purchase orders.
- A purchase invoice is approved once: it adds the quantities to stock and updates the average cost.
- Receiving into the chosen warehouse or branch.
Warehouses and branches
- Several warehouses, with a separate balance for each location.
- Transfers between warehouses or branches as recorded movements.
Fabric in tailoring orders
- Fabric picked from stock in an order is reserved for it, so it cannot be used for another order or sold.
- The fabric is issued with the actual waste when cutting is completed.
- Customer-supplied fabric is never deducted from the shop's stock.
- Orders show the fabric source of each piece.
Stock-takes and average cost
- Stock-takes record the counted quantities and settle differences with clear movements.
- The weighted average cost comes from actual receipts only and is shown only to users with the cost permission.
- A movement history per item: receipt, issue, transfer, adjustment, sale and return.
Reports

Direct sales from stock
Any item can be made available for direct sale from its item card, with a selling price per unit. It is then sold from the direct sales and POS screen and deducted from stock once.
Inventory can be switched on or off; orders and invoices work either way. Included services depend on the plan — see plans and pricing.
Frequently asked questions
Does MQDAR track fabric by the metre and by the roll?
Yes. Fabrics are managed by the metre or yard, each roll keeps its own balance inside the item, and a low-stock alert warns you when the balance drops.
When is fabric deducted for a tailoring order?
The fabric is reserved for the order first, then issued with the actual waste when cutting is completed. Customer-supplied fabric is never deducted from the shop's stock.
How is the fabric average cost calculated?
From approved purchase invoices and actual receipts only, as a weighted average. Purchase orders that were not received are not included.
Can I manage more than one warehouse?
Yes. Each warehouse or branch has its own balance, and transfers between them are recorded movements.
Can I use MQDAR without inventory?
Yes. Inventory is optional; orders and invoices work without it.
